Background
In recent years, IT asset management has become increasingly complex due to the proliferation of cloud services and diversification of business systems, making software license usage more intricate. Traditional department-by-department and person-by-person distributed management has led to the following challenges:
- Abandoned terminated employee licenses: Licenses remain assigned to former or transferred employees, leading to contract renewals and unnecessary costs
- Contract renewal oversights: Dependence on departmental and person-specific contract date management results in renewal oversights, causing license violations or unplanned software service interruptions
- Mismatch between contract and usage numbers: Actual license usage exceeds contracted license numbers, leading to additional fees or penalties during vendor audits
- Limited management scope: Common IT asset management SaaS platforms focus primarily on cloud-based licenses, making it difficult to visualize and manage installed software, custom development systems, and middleware such as operating systems and databases used within them
Software license management often takes a reactive approach, making it difficult to achieve optimal operations. "Licenses" is a product that enables unified visualization and management of diverse software, from cloud-based to installed types, including middleware such as operating systems and databases. It covers contract information like seat counts and renewal deadlines, as well as actual usage status, enabling optimal license allocation and achieving cost reduction, operational efficiency, and audit compliance.
The system also handles complex cases like Microsoft 365, where user account types and license types are intricately combined. By managing these separately, it accurately tracks who has which accounts and which licenses they're using. Additionally, by including often-overlooked middleware such as operating systems and databases within custom development systems, it helps avoid unexpected annual costs from license contract expirations and enables more comprehensive budget planning.
By providing integrated management of licenses of all scales and types, it elevates corporate IT asset management to the next level.

Key Features
License Registry
Unified management of all software licenses in a single registry. View allocation numbers, expiration dates, and renewal schedules at a glance. Break free from fragmented departmental management and prevent service interruptions due to renewal oversights and cost generation from abandoned unnecessary licenses.
Device Integration
Manage which licenses are allocated to IT devices such as PCs, mobile devices, and servers. Identify licenses remaining on terminated employee devices or unused devices, and streamline recovery and redistribution processes.
Contract Information Management
Manage contract information including purchase dates, contract terms, and renewal schedules for each license. By centralizing contract information, prevent renewal timing oversights and contract number exceedances, enabling compliance risk avoidance.
License Key & Authentication Information Management
Centrally record and reference license keys and authentication information. Move away from Excel and vendor portal management to enable smooth information provision. Eliminate person-dependent management and establish a reliable management system.

Future features will include alert functions that automatically notify of contract expirations and seat count exceedances, as well as management functions that visualize costs based on license usage. These features will reduce the burden on information systems personnel while simultaneously achieving company-wide IT cost optimization and governance enhancement.
