Background

In recent years, IT asset management has become increasingly complex due to the proliferation of cloud services and diversification of business systems, making software license usage more intricate. Traditional department-by-department and person-by-person distributed management has led to the following challenges:

• Abandoned terminated employee licenses: Licenses remain assigned to former or transferred employees, leading to contract renewals and unnecessary costs
• Contract renewal oversights: Dependence on departmental and person-specific contract date management results in renewal oversights, causing license violations or unplanned software service interruptions

The system also handles complex cases like Microsoft 365, where user account types and license types are intricately combined. By managing these separately, it accurately tracks who has which accounts and which licenses they're using. Additionally, by including often-overlooked middleware such as operating systems and databases within custom development systems, it helps avoid unexpected annual costs from license contract expirations and enables more comprehensive budget planning.
